ITEM BACKGROUND: Clyde Allen (A Natures Sanctuary, Inc.) paid for and picked up surplus County unit #3200-098. Several days later, Mr. Allen returned the vehicle due to transmission problems which were undetected by the Fleet Management Department before setting the minimum bid at $600.00. On or about 12/2/08, Mr. Allen again took possession of the truck and requested a $200.00 refund/ adjustment. (Over a period of time, Mr. Allen has purchased at least 10 other surplus units from the County, all in good faith.) PREVIOUS RELEVANT BOCC ACTION: On October 15, 2008, the BOCC awarded surplus County unit #3200-098, a 1997 Chevrolet 1500 pickup truck, to the highest bidder Clyde Allen (A Natures Sanctuary, Inc.) in the total amount of $666.00. OMB/Purchasing Risk Management DOCUMENTATION: Included Not Required X DISPOSITION: AGENDA ITEM # Revised 11/06 Year MEMORANDUM TO: Dent Pierce, Director Public Works Division FROM: Roy Sanchez, Director Fleet Management Department DATE: December 15, 2008 RE: Agenda Submission / Information Memo The attached BOCC agenda item is to ask for approval to refund surplus vehicle bidder Clyde Allen (A Natures Sanctuary, Inc.) who returned then later picked back up a County surplus vehicle due to it requiring costly transmission repairs that were undetected by Fleet Management before setting minimum bid at $600.00. On October 15th, 2008, Clyde Allen (A Natures Sanctuary, Inc.) was approved by the Monroe County Commission as the high/only bidder and received a surplus vehicle from the County, (ID #3200-098) in November, 2008. Being that Clyde Allen (A Natures Sanctuary, Inc.) advised us of critical transmission problems shortly after, and purchased at least 10 other vehicles in good faith; we are asking that he be given a refund of $200.00 which he has requested.
