County of Monroe A BOARD OF COUNTY COMMISSIONERS Mayor George Neugent, District 2 The Florida. Key y w ) i Mayor Pro Tem David Rice, District 4 r Danny L. Kolhage, District I Heather Carruthers, District 3 Sylvia J. Murphy, District 5 County Commission Meeting March 15, 2017 Agenda Item Number: C.12 Agenda Item Summary #2714 BULK ITEM: Yes DEPARTMENT: Information Technology TIME APPROXIMATE: STAFF CONTACT: Alan MacEachern (305) 295 -5110 N/A AGENDA ITEM WORDING: Approval to extend AT &T Support Contract for 12 months beginning March 15th, 2017 to March 14th, 2018 for the amount of $163,706.23. This contract entitles us to support of our existing AT &T phone switch, cabling and the services of a dedicated onsite technician. ITEM BACKGROUND: As part of the installation of the Nortel phone switch during the 1990s, ATT offered a support option which involved phone switch monitoring, troubleshooting, maintenance and repair. Those activities were all to be performed by an onsite technician who would also perform other activities (phone and network cabling primarily) under the direction of the Monroe County BOCC based on usage and availability. The Monroe County BOCC accepted that support agreement and has purchased it continuously since that date. There are multiple attachments which highlight those purchases since 2001 in addition to the proposed 2017 contract. This year we anticipate replacing the existing Nortel phone switch with a modern alternative as part of an approved project. When we finish that project, we will no longer need this contract specifically, although the support activities that are performed under this contract will still be required — they will just be presented in a new contract, potentially from another vendor. Staff is requesting the BOCC extend the AT &T Master Service agreement # 20101222- 0258UA for one more year. PREVIOUS RELEVANT BOCC ACTION: Previous BOCC approved on January 21, 2015 Item C 27 and February 10, 2016 Item C7 to extend for one more year.
