AGENDA ITEM WORDING: Approval to award surplus units to the highest bidder as set forth in
the attached spreadsheet except unit 40940/576. Additionally, approval to donate unit 40940/576,
Case 621D Loader, to the City of Marathon. Authorization to award the surplus items to the next
highest bidders, if necessary, until items are disposed of.
ITEM BACKGROUND: Surplus units and equipment were approved to be removed from
inventory at the February 19, 2020 BOCC meeting, Agenda Item number M.1.
Staff published a solicitation for bids on Demandstar and it was advertised as required. The bid
tabulation sheet noting the bids for each surplus item is attached and identifies the highest bidder for
each surplus unit to be awarded. If the highest bidder fails to complete the purchase transaction after
reasonable notification of the award and time limits in which to respond, then staff recommends
awarding to the next highest bidder(s) until final disposition of the surplus units is complete in
accordance with Monroe County Purchasing Department guidelines.
After publication of the solicitation, the City of Marathon requested donation of the loader per
attached letter dated June 15th, 2020. Staff recommends donation of the requested unit to the City of
Marathon in lieu of the sale. The highest submitted bid for that unit was $9,000.
PREVIOUS RELEVANT BOCC ACTION: Board granted approval to dispose of surplus items
and units at the February 19, 2020 meeting.

Dear Mr. Sanchez:
Thank you for yours and Jay's time to allow us to inspect the surplus Front End Loaders. As
discussed in our recent conversation, the City is interested in one of the surplus Loaders the
County currently has advertised for auction due on July 8, 2020, Vehicle ID 4 JEE0134224*. We
are formally requesting that the County consider donating the equipment to the City. While we
understand that there will likely be offers from the public on the loader, we're hopeful that the c
County will continue the spirit of cooperation with the City in our continued enhancement to the
City and Monroe County. To that end, the City understands that we will make all necessary
repairs to the equipment, maintain it in a safe operating condition, and provide assistance in the
initial first pass clearing of US 1 and the airport runway as we have done in the past.
