The original Change Order 43 was approved by the BOCC at the March 16, 2022 meeting and incorrectly stated the contract total. The correct total contract amount with this Change Order 43 is $1,374,837.50 This replacement corrects the mathematical error. ITEM BACKGROUND: On February 7, 2019, the County Purchasing Department received and opened the sole response to the Request for Proposals for the above-referenced project. The proposal from Gary's Plumbing and Fire, Inc. (Contractor) for the entirety of the scope of work for the installation of the Pigeon Key Historic Buildings Fire Suppression System was $1,179,000.00. The total grant amount available at that time was $480,000.00, with an expiration of September 30, 2021 if not utilized by that date. As authorized by Chapter 3,paragraph (D)(2) of the Purchasing Policy, staff consulted with the Contractor to determine what scope of work could be performed with the available funding under the same terms and conditions as required in the Request for Proposals. The Contractor agreed to accept the reduced scope of work at the pricing reflected in its proposal. County staff and the Contractor negotiated a contract that reflected the reduced scope of work for the installation of a partial fire suppression system at a final negotiated price of$468,000.00. Additional TDC funding (42484)was awarded, and the County and the Contractor agreed to adding the previously eliminated fire alarm scope which included complete alarm installation in 8 of 10 buildings and associated electric back into the contract in the amount of$162,400.00. In FY22, additional funding has been awarded by the TDC (Grant#'s 2660, 2655,2638, 2629). The County and the Contractor have agreed to add the previously eliminated diesel fire pump, associated housing, concrete slab and associated connections back into the contract in the amount of $499,937.50. Packet Pg. 255 C.13 A final set of grants were provided to add the water tank and finish work on the Honeymoon Cottage. These three grants provide total funding of$250,000.00 (Grant 4s 2762, 2763, and 2764). Change Order 43 was processed in March to add scope to the project, but the net changes amount previously authorized by change orders was incorrect resulting in an incorrect contract total. PREVIOUS RELEVANT BOCC ACTION: August 2020—Approval of a reduced scope contract for a portion of the fire suppression system. September 2021 —Approval of a Change Order to add the installation of the planned Fire Alarm System for 8 of the 10 Historic Buildings.
