AGENDA ITEM WORDING:
Approval to register and attend one additional sales show and approval to pay accommodation costs
for one sales show that were not previously included in the approved TDC FY 2026 marketing plan.
The estimated cost for each is set forth in the attached memo.
ITEM BACKGROUND:
As part of Visit Florida Keys's continued sales efforts to promote tourism to the destination, approval
is requested for the following travel trade shows that was not planned at the time of completion of our
FY 2026 Marketing Plan. The funds are available for these events within the approved FY 2026
budget.
Approval to pay for the cost of accommodations for the previously approved Retreat Resources: New
South Road show is also requested. The original estimated cost did not include the cost of
accommodations, which were not included in the registration cost as originally anticipated.

Marketing Plan
As part of Visit Florida Keys's continued sales efforts to promote tourism to the
destination, approval is requested for the following travel, trade shows and events that
were not planned at the time of completion of our FY 2026 Marketing Plan. The funds
are available for these events within the approved FY 2026 budget.
Meetings Live Incentive (Dominican Republic)
Location: Punta Cana, Dominican Republic
Dates: September 20-23, 2026
Budget: $5,600 conference registration, plus travel expenses not to exceed $705
This appointment-based event provides valuable opportunities to connect with industry
professionals, build relationships, and generate new business through targeted
meetings and networking experiences.
Retreat Resources New South Roadshow
Location: Atlanta, GA, Birmingham, AL, Franklin, TN
Dates: April 13-16, 2026
Budget: Travel expenses originally approved not to exceed $1,050; actual expenses
totaled $2,598.52, resulting in an overage of$1,548.52.
Travel expenses for this program exceeded the initial approved estimate due to hotel
accommodations, not being included in the registration as originally anticipated.
Approval is being requested to cover the additional $1,548.52 in expenses beyond the
original estimate. Money is available in the approved FY26 budget.
Partnering with Retreats Resources, this multi-city roadshow provides face-to-face
appointments with pre-qualified incentive and meetings buyers across emerging
Southeast markets. Participation supports Visit Florida Keys' group sales strategy by
targeting new opportunities within high-potential regional markets, and as this inaugural
Southern Roadshow provides an opportunity to engage early with qualified buyers in
these emerging markets.
